Data deletion

ChatLedger gives you full control over the data you and your customers generate on the platform. This page explains exactly how to delete it, how long deletion takes, and what we're legally required to keep afterwards.
1. Delete from inside ChatLedger (Customers)
If you signed up for a ChatLedger workspace (you're a Casia Lab Customer), the fastest way to delete everything is from the product:
- Sign in at chatledger.casialab.com.
- Open Settings → Danger zone.
- Click Export my data first if you want a copy (recommended — we can't recover it once it's deleted).
- Click Delete workspace, type your workspace name to confirm, and submit.
You can cancel the request at any point during the 30-day grace window from the same screen. After 30 days, deletion becomes permanent and the workspace cannot be restored.
2. Delete by email (Customers and End Users)
If you can't access the product — or you're an End User (someone who messaged a business using ChatLedger) — write to chatledger@casialab.com with the following:
- Your name and phone number or email address as we'd have it on file.
- For End Users: the business name or WhatsApp number you were messaging. We can only identify your data through them.
- (Optional) A short reason — helps us serve you better, but you're not required to share one.
We confirm receipt within 2 business days and complete the deletion within 30 days of confirmed identification, in line with applicable data protection laws (including GDPR, UK GDPR, NDPA, UAE PDPL, and equivalent regimes).
3. What gets deleted
When a workspace is purged, we cascade-delete every row tied to it:
- Tenant profile — business name, address, currency, settings.
- Staff accounts — names, roles, contact details.
- Customers — phone numbers, names, tags, notes, history.
- Conversations and every message in them, including media references.
- Quotes, orders, payments, delivery records.
- AI Support runs and credit ledger entries.
- Payment method configuration (Stripe / Paystack / bank details).
- Auto-reply, business-hours, and AI knowledge configuration.
For End Users requesting deletion, we remove the customer record and all linked conversations, messages, orders, and payments from the businesses you specified — without affecting other people in those businesses' data.
4. What we keep after deletion (and why)
Tax, accounting, and anti-fraud laws in the jurisdictions we and our Customers operate in require us to retain certain financial records. Specifically:
- Tax-relevant invoices and payment records — 5–10 years depending on the jurisdiction (e.g. 7 years under Nigerian Federal Inland Revenue Service rules, 10 years under UK HMRC, 6 years under typical EU member-state regimes).
- Encrypted backups — overwritten on a rolling 35-day cycle. Your data will be removed from the next backup generation onward.
- Sub-processor logs — message delivery records held by Meta (WhatsApp) follow Meta's own retention policy. We don't control those directly. Contact Meta if you need those purged.
5. Deletion timeline
- Day 0 — you submit the request (in-app or by email).
- Days 0-30 — grace window. The workspace stays accessible but flagged for deletion. You can cancel.
- Day 30 — the workspace is hard-deleted from our primary database.
- Day 65 (≈) — the data also drops out of our rolling backups.
- 5–10 years — invoices and payment records retained for tax compliance, depending on the jurisdiction.
